Every enquiry becomes a lead, and every lead has a stage, a source and someone chasing it.

A form for your website, leads with stages and sources, a needs-attention queue, a score with its reasons, and routing to the next rep. On every plan.

A form for your website that records consent, leads with stages and sources, a needs-attention queue that says why, a score with its reasons, and routing to the next rep in turn.

Leads, the web form, scoring and import are on every plan; the lead API, your own stages and automation are on Pro.

A lead hangs off a contact

A lead is one episode of a person asking about what you sell. The person is in your contacts from the moment they enquire; the lead sits on them, numbered, with a stage, a source and an owner. The same person can enquire again later, and the contact's Leads card lists every one.

  • Stages: New, Contacted and Qualifying, then Converted or Unqualified
  • Sources you can rename, with where the lead really came from recorded separately
  • Convert lists what will happen before you confirm, can move the contact to a new stage and offers Create a deal; Not proceeding asks for a reason; Reopen puts one back
  • Log a call or a task on the lead; it is filed on the contact and counts towards the lead's follow-up and its score

The leads that need chasing, and why

Tick Needs attention on the Leads tab and the column says why for each row: nobody owns it; nobody has made contact and it is over a day old; a follow-up is past due; there is no next step and nobody has touched it for three days; or the customer's conversation has waited on your reply for four hours.

  • Claim an unassigned lead with one press; if a colleague claimed it a moment earlier, the screen says so
  • Tick several rows and assign an owner or move them to a stage at once
  • The dashboard banner shows the same count
  • Ask Harvi: /leads lists the leads that need chasing; Harvi can add a lead for a contact or move one to another open stage, on a card you confirm

A score on every lead, with the reasons shown

Every open lead carries a score from zero to one hundred and a band — Hot, Warm or Cold — worked out from the lead's own record each time it is shown. Rules, not a model: it starts in the middle and each reason adds or takes away points.

  • Adds: came in this week, asked through the website, wrote in by email, replied and is waiting on you, an organisation behind it, can be emailed or texted, asked for a quote or a price
  • Takes away: over a month old, nobody owns it, nobody has been in touch, a follow-up overdue, no next step planned, opted out
  • Sort the list by score, read Why this score on the lead, and switch scoring off if you would rather not
  • A score never assigns a lead, moves it, messages anyone or starts an automation.

A form for your website, with a consent box

Every workspace starts with a published enquiry form. Share its hosted link, paste the snippet into your site, or print its QR code on a flyer. Each submission creates the contact and the lead, in your workspace's own pipeline.

  • A tick in the consent box records express consent to hear from you — by email when they gave an email, by text when they gave a mobile
  • Spam protection, a daily cap and optional double opt-in
  • Offer the form in English, Chinese or Korean; the answers are stored in your form's own language
  • A returning enquirer is matched within your workspace, and a repeat submission attaches to the lead already being worked
  • The hosted page and the printed poster carry your business's name and logo

Routing: the next rep in turn, or the person you name

Each form names who gets its leads: a fixed owner, or a round-robin rotation across the people you tick. A rep whose leads are routed to them sees those leads and the contacts behind them — and nothing else, until the owner turns on Team view.

  • Someone who has left is skipped; if nobody in the rotation can take it, the lead arrives unassigned
  • The lead's owner is emailed when it arrives, if the form says so

Bring your spreadsheet in

The workspace owner can import a CSV of contacts: match the columns, declare the consent basis for email and for texts, read the check — what will be added, what updated, what skipped and why — then import. Undo within seven days deletes only what the import added and keeps anything another record now uses.

  • An update fills only blank fields on a matching contact and never changes a name, an owner, a stage or consent
  • If the connection drops, Continue picks up where it stopped and nobody is added twice
  • Pro

A lead API

On Pro, your website's back end, your CRM or another service sends leads straight in with a key the owner creates. Each request carries its own id, so a retry adds nothing and never makes a second lead.

  • Each key names its routing — a fixed owner or a round robin — and, if you like, a campaign; the key is shown once
  • A lead may declare the consent the other service recorded, on a new contact only; nothing is assumed
  • Pro

Your own lead stages, sources and reasons

On Pro, the workspace owner can rename, add, reorder and remove the workspace's lead stages, lead sources and disqualify reasons under Workspace settings → Pipeline. The change applies to that workspace alone.

  • A stage leads are sitting in cannot be removed and its kind cannot change; a source or reason a lead still uses cannot be removed; renaming is always safe
  • Move off Pro and the lists stay in force, read-only; Return to the standard pipeline maps every lead back
  • Pro

Automation on new leads

On Pro, a follow-up task due the next day is created for each new lead and a welcome task for each new contact, switched on from the start — and the acknowledgement email, when you enable it, tells a form, campaign or API enquirer who ticked consent their conversation's reference number.

  • A rule on a new lead can be limited to where it came from: the web form, entered by staff, email, a campaign or the API
  • Every rule is written by you and silenced by you; none is written by a model

Which plan it is on

Getting leads in and working them is on every plan. Pro adds the ways a bigger operation feeds and shapes the pipeline.

On every plan

  • Leads with stages and sources, Needs attention, Claim and bulk moves
  • The web form with its consent box, the QR poster and three languages
  • Lead scoring with its reasons
  • Import, with a check first and undo within seven days
  • Ask Harvi, under the plan's limits

On Pro

  • A lead API
  • Your own stages, sources and reasons
  • Automation rules — the follow-up task and the acknowledgement email
  • Leads from campaigns and event campaigns
  • Higher AI limits

What it does not do

  • A score never assigns, moves or messages anyone, and Ask Harvi is never told the score
  • A lead with history is never deleted; it is marked Not proceeding, because the outcome is the reporting
  • A submission caught as spam is never stored and cannot be recovered
  • On Free and Basic no automation runs: a new lead gets no follow-up task and no acknowledgement email
  • Leads from advertising platforms are not built; a form, a forwarded email or, on Pro, an API key is how a lead gets in

Questions

Where do leads come from?

Your web form, an email in Unmatched mail (press Open a lead), a campaign page or a reply to a campaign text, the lead API, or typed in by your team. Every one is a lead on a contact, in your workspace's own pipeline.

Does the form send an acknowledgement?

On Pro, the acknowledgement rule emails a form, campaign or API enquirer who ticked consent, quoting their conversation's reference number so their reply joins it. On Free and Basic no automation runs, so nobody is emailed by a rule.

What does Hot mean?

The score's top band. It is worked out from the lead's own record from a fixed list of reasons, shown under Why this score, and it changes nothing by itself.

Can a sales rep claim a lead?

No. A rep's leads are the ones routed to them — by a form, a key or a colleague — and they do not see the unassigned ones. The owner and the full logins route the work.
