Give each rep their own book, and keep the whole picture yourself.
Rep sign-ins that see their own contacts, leads and deals; team view when you want it; hand-over when someone leaves; numbers and targets per person.
A sales rep sign-in sees its own contacts, leads and deals and nothing else, at a lower price than a full login. Turn on Team view when you want reps to read the rest, hand over a leaver's open work in one step, and read every person's numbers against a monthly target.
Rep sign-ins, Team view, hand-over and targets are on every plan; Pro adds more full logins and automation.
Three kinds of sign-in
The owner runs the workspace and its settings. A full login sees and works every record. A sales rep works their own contacts, leads and deals — the ones they own, the ones routed to them, and the contacts and organisations on those records — and does not see the shared Submissions view, a colleague's records, reports, orders, invoices or Workspace settings.
- Invite a rep from Workspace settings → Sales team: set the sign-in kind to Sales rep, type their name and email, and send the invitation
- A rep sign-in is the lower-priced kind; the number each plan includes, and the price of another, are on the pricing page
- A rep opens deals in their own name, and when a deal is given to someone, its contact and organisation become visible to them too
Team view, when you want it
By default a rep sees only their own records. Switch on Team view and every rep can read every contact, lead and deal in the workspace — to cover for a colleague or see the whole pipeline — but can still change only their own; a colleague's record opens read-only.
- Switching it off again takes effect on the rep's next click
- It changes nothing for the owner or the full logins, who always see and work everything
- Ask Harvi follows the same rule: a rep sees and changes through Harvi only what they can see and change on the screens
Work reaches a rep by routing
A rep's leads are the ones routed to them: a web form that names them as owner or puts them in its round-robin rotation, or a colleague assigning a lead or a deal to them. A rep does not see unassigned leads and cannot claim one — the owner and the full logins route the work.
- Routing skips someone who has left
- Customers to follow up shows a rep only their own customers
- A rep sees the email, conversations and files of the contacts they can see
When someone leaves, their work moves in one step
Remove on a colleague opens Hand their open work to…: pick an active colleague, and their open leads, open deals and open tasks move across, together with the contacts and organisations they owned or were assigned to, every web form that routes to them and any automation that names them as owner. Then they are removed, and their sign-in ends at once.
- What they won, converted or closed stays in their name, so the history still shows who won what
- Their email address can be invited again afterwards
- If the removal itself fails, run it again; the hand-over has already happened and does not repeat
Numbers and targets per person
Set one standing monthly target per person — the value of deals you expect them to win — under Workspace settings → Sales team. The Forecast tab's Team numbers then shows, for any month: won value and count, the target, attainment, win rate, open pipeline, open leads, converted and activities.
- The owner and the full logins see every row; a rep sees only their own, whether or not Team view is on
- The Sales dashboard shows each person's typical first-response time once they have answered a few conversations in the month
- Reports → Leads shows how many leads arrived, how many need attention, the conversion rate and which sources and owners they sit with
Every workspace is its own
Your workspace is one business. Another business on HarvestFlow Grow can see nothing of yours — not a contact, not a deal, not a number — and yours never appear in its reports. A deal's owner, contacts and organisation must all belong to your workspace.
- Quotes, orders and invoices carry your workspace's own name, logo and numbering
- A returning enquirer is matched within your workspace only

More for a bigger team, on Pro
Pro carries more full logins, with more to buy, and automation rules that put the next step on someone's list: a follow-up task for each new lead, a next-step task when a deal opens, a follow-up when one stalls, a hand-over task when it is won.
- Your own stages, campaigns and a lead API are Pro's too
Which plan it is on
The team tools are on every plan, because a one-person business with one rep is still a team. Pro is for more people in the office.
On every plan
- Rep sign-ins, at the lower price
- Team view, routing and hand-over
- Targets and Team numbers
- Ask Harvi on a rep sign-in, under the plan's limits
On Pro
- More full logins, with more to buy
- Automation rules
- Higher AI limits
What it does not do
- A rep never sees a colleague's record unless the owner turns on Team view, and never changes one
- A rep does not see reports, orders, invoices or Workspace settings; a person who needs those needs a full login
- There is no per-contact fee: you pay for logins and rep sign-ins, at the published prices
- A target is one figure for every month; no history of earlier targets is kept

Questions
What does a rep see?
Their own contacts, leads and deals, and the records you route to them — nothing of a colleague's unless you turn on team view, which lets them look but not edit.
What happens to a rep's deals when they leave?
Remove opens a hand-over: their open leads, deals, tasks and contacts go to the colleague you pick, in one step. What they won or lost stays in their name.
Can a rep see unassigned leads?
No. A rep works what is routed to them, and cannot claim. With Team view on they can read the unassigned ones, and still cannot claim or change them.
Can I give a rep reports or invoices?
No. A rep sign-in is the rep's own book. A person who needs reports, orders or invoices needs a full login — Pro carries more of those.
